Why do reviews decide who gets the call?

When a customer searches for a local business, they see several names side by side. The star rating and the number of reviews are right there. People use them as a shortcut: if two businesses look similar, they call the one with more good reviews.

Reviews also tell Google and other tools something about your business, and your replies show new customers how you treat people. A profile with recent reviews and polite replies looks alive.

How do you ask without being pushy?

Most happy customers will leave a review if you ask, and few ask themselves. The trick is to ask at the right moment and make it easy.

  • Ask right after a good moment: the job is done, the customer says thank you, the food was enjoyed.
  • Ask in person first, then send the link by message.
  • Keep it short. One request, one link.
  • Never pressure anyone, and never ask only the customers you expect to be happy in a way that hides others.

Your Google Business Profile has a link to share for reviews. Find it in the profile and save it on your phone.

What message do you send on WhatsApp?

Keep it friendly and short. For example:

"Hi Priya, thank you for visiting us today. If you were happy with the service, would you mind leaving us a quick review on Google? It helps other people find us. Here is the link: [your link]. Thank you!"

Change the name and wording to suit you. Send it the same day, while the visit is fresh. Send each person only one message.

How do you reply to a good review?

Reply to every review, not only the bad ones. A good reply is short and warm.

  1. Use the customer's name.
  2. Thank them for something specific they mentioned.
  3. Say you look forward to seeing them again.

For example: "Thank you, Rahul. We are glad the delivery arrived on time. See you again soon." Do not copy the same sentence under every review. Readers notice.

How do you reply to a bad review?

A bad review is a chance to show how you behave when things go wrong. Future customers read the reply as carefully as the review.

  1. Wait before you reply, so you are calm.
  2. Thank the person for the feedback, and apologise for their experience, even if you see it differently.
  3. State the facts briefly and politely, without blaming them.
  4. Offer to fix it and give a way to reach you, such as a phone number or an email, rather than arguing in public.
  5. Do not share private details about the customer or their order.

What is against Google's rules?

  • Offering money, discounts or gifts in exchange for reviews
  • Writing reviews yourself, or having your staff and family write them
  • Buying reviews from a service
  • Asking for reviews only from happy customers and blocking unhappy ones from leaving theirs
  • Posting fake or misleading replies

Google can remove reviews it finds in breach, and it can penalise a profile for repeated violations. If you are unsure, keep it simple: ask honestly, and let people say what they think.

How often should you check?

Look at your reviews at least once a week, and set notifications on so a new one reaches your phone. A reply within a day or two looks attentive.

Our Social Media and Ads plan watches your reviews and drafts replies for you to approve, if you would rather not do it yourself. See the pricing page for details.

Questions people ask

Can I delete a bad review?

Not yourself. You can report a review to Google if it breaks the rules, for example if it is spam, fake, or abusive, and Google decides whether to remove it. A review that is merely unfavourable but honest will usually stay. The best response is a calm, helpful reply that future customers can read.

Can I offer a discount for a review?

No. Google does not allow offering anything in exchange for a review, even a small discount or a free item. It can lead to reviews being removed and to action against your profile. Ask politely, make it easy, and let customers decide what to write.

How many reviews is enough?

There is no set number. What matters is a steady flow of recent, genuine reviews, with a rating customers find reasonable. A few new reviews each month usually look better than a burst of many followed by silence. Compare yourself with the nearby businesses customers will also see.

Should I reply to every review?

Yes, ideally, including the short ones. Replying shows customers you pay attention, and it gives you a place to mention your service in natural words. Keep replies brief and different from one another. For negative reviews, take extra care and avoid arguing in public.

Do reviews affect AI answers?

Possibly, but nobody outside the AI companies can say how much. Reviews are public text about your business, and tools that summarise local options may read them. What is certain is that people read them. Treat reviews as important to customers first, and anything beyond that as a bonus.
